Real questions from operators and managers. Straight answers.
Getting Started
What's included with SimpleSafe?+
The incident documentation app, full Manager Portal access (incidents, trends, staff roster, readiness drills), and legal custody chain-of-custody review — all included in one price, per location.
Do our staff need to be trained or certified to use it?+
No. There's no certification program to complete. Staff scan a QR code and can submit their first incident report in under a minute — the app is designed to need zero onboarding.
How long does setup take?+
Your Manager Portal is activated within minutes of signing up. A short built-in walkthrough gets you fully up and running — most organizations start documenting incidents the same day.
Do we need IT support to get started?+
No. SimpleSafe is cloud-based and works on any device — no software to install, no IT department required. Just log in and go.
Pricing & Billing
Is there a monthly payment option?+
No — SimpleSafe is billed annually only. There's no monthly plan.
Is there a free trial?+
No. SimpleSafe is a long-term operational system built to document your organization's incident history over time — not something a short trial can really show you.
The value of SimpleSafe grows the longer you use it. A 14-day trial shows you the app; it can't show you a year of documented patterns, a clean audit trail through staff turnover, or the operational memory that makes it valuable. Learn more about that here.
What's the difference between the founding rate and standard rate?+
The founding rate ($995/year per location) is available to early partners and locks in for two years. After the founding window closes, new accounts are billed at the standard rate ($1,295/year per location). See Pricing for full details.
We have multiple locations — how does billing work?+
Each location gets its own account, billed per-location — its own manager, its own reporting, its own local investment in doing it right. If you're a portfolio or multi-location organization, reach out and we'll walk through how it works at your scale.
Platform & Components
Do we have to use every feature?+
No. You can use any or all components of the SimpleSafe platform — the incident app, the Manager Portal's trends and drills, and legal custody are all included, but there's no requirement to use every part of it on day one.
What if we already have an incident reporting process?+
SimpleSafe can complement your existing process by providing independent documentation, legal acknowledgment, and record retention outside your organization's own systems.
Legal & Documentation
Do we have to hire the law firm?+
No. The legal acknowledgment process is included as part of the documentation workflow. There is no obligation to retain or hire the firm.
Who owns the incident reports?+
Your organization retains ownership and control of its information.
Insurance & Risk Management
Will SimpleSafe lower our insurance premiums?+
No. SimpleSafe does not guarantee lower insurance premiums, and insurance decisions are made independently by your carrier. However, SimpleSafe helps demonstrate proactive risk-management practices through structured incident documentation and operational procedures. Upon request, organizations may provide this documentation to their insurance carrier or broker as part of their overall risk-management profile.
Can SimpleSafe help us communicate our risk-management efforts to our insurance carrier?+
Yes. Upon request, SimpleSafe can provide documentation describing the incident documentation and operational practices implemented by your organization. Many organizations choose to share this information with their insurance broker, carrier, risk-management team, or ownership group as part of their overall risk-management program.
Data Security & Privacy
How does SimpleSafe protect our data and incident records?+
SimpleSafe runs on enterprise-grade cloud infrastructure with encryption, deny-by-default access controls, and short-lived credentials — and incident records are backed by an independent legal chain of custody. Payments are handled by Stripe, so card data never touches SimpleSafe. Read the full Security & Data Protection overview →
